Switching Benefits Carriers? Here’s How to Keep Employees Informed

Changing benefit carriers sets many activities in motion for HR teams. It can also prompt a range of questions from employees.

Will I have to find a new doctor? Is my prescription still covered? Am I going to have to pay more?

Fortunately, carrier changes don’t have to be chaotic. With the right communication plan, you can turn a potentially overwhelming transition into one that is totally manageable.

Here are several proven tips to make switching benefits carriers a bit smoother for everyone involved.

Start Messaging ASAP

Timing plays an important role in how employees experience benefits changes. Sharing information early gives them time to absorb what’s changing and understand any actions they may need to take. A steady flow of relevant updates also keeps employees informed without feeling overloaded.

Be Transparent

Transparency builds trust. Explaining why the carrier change is happening, whether it’s cost management, expanded coverage options, or improved service, provides helpful context. From there, it’s essential to be very specific about what’s changing.

For example, during the transition to a new medical plan carrier, employees benefit from understanding how to check the new carrier’s provider network, transfer prescriptions to a different pharmacy, and access new ID cards.

Provide a Clear Timeline

Uncertainty can lead to anxiety, but a clear timeline helps employees understand what’s happening and when. Visual timelines or countdown reminders can be especially effective in helping employees stay on track. A simple “30 days out / 2 weeks out / 1 week out” communication cadence keeps people oriented and feeling prepared.

Carrier changes often come with new tools, programs, and resources, and it’s a great opportunity to put the spotlight on expanded wellness programs, improved digital tools, telehealth options, and care management resources.

It also makes sense to be upfront about what will no longer be available. Outlining which programs, platforms, and services are ending helps set expectations and avoid surprises later.

Use Multiple Communication Channels

Reaching employees requires more than a single approach. To connect with employees across locations and work schedules, use a mix of communication channels, including emails, intranet posts, manager toolkits, virtual meetings, printed materials, and employee portals.

Consistent, repeated messaging across channels helps reinforce key information. It also provides reassurance and increases the likelihood of employees seeing and understanding important details.

Make Resources Easy to Find

Easy access to information can make a meaningful difference during a transition. When resources are centralized, clearly organized, and easy to find, employees can quickly get what they need without confusion and unnecessary frustration.

Easily accessible resources may include:

  • Provider network directories
  • FAQs
  • Step-by-step guides for key tasks, such as setting up accounts or transferring prescriptions
  • Contact information for HR and the new carrier’s support teams

What Does This Mean?

Providing the highest level of hospitality is important to us. Surveys give us the feedback we need to continually meet this goal. We’re pretty proud of our Net Promoter Score (NPS). Here’s why:

What Is NPS?

NPS is based on the percentage of survey respondents who are promoters, passives, and detractors:

  • Promoter: Score of 9 or 10
  • Passive: Score of 7 or 8
  • Detractor: Score of 0 to 6

Scores range from -100 to 100. The higher the score, the higher the percentage of promoters versus detractors.

What Is a Good NPS?*

Above 0: Good
Above 20: Favorable
Above 50: Excellent
Above 80: World Class
